Adding a new employee
- Make sure you have a folder made.
- In the middle drawer of the big file cabinet, there's a file called
"Payroll, Blank forms".
- Fill out, or have the new employee fill out
- W4 form
- Medical insurance
- Offer of Employment
- I-9 form
- Make a copy of the W-4 form and send it to the state for their delinquent
father reporting requirement.
- Add the employee to the Cactus system:
- Use whosin
- browse
- Add a record by hand - you need one in order to do the next
step. Just do an "I" or a "Q".
- Close all
- Use whosin exclusive
- list stru (this step is optional, but it helps you figure out what the
next step means.)
- index on w_name + dtoc(w_date) + w_time to phil for w_name =
"PHIL"
- close all
- use employees index employidx, emplpswd
- browse
- Add the record. Most of the stuff you add is near the beginning,
but try to get the new person's birthday, too. It's the last
record.
- close all
- Then have the employee check in or out or on break or something to check
your work.
- Explain about profit-sharing, buying merchandise at cost, free Internet
account, sick leave, vacation. Make sure the new person knows his
hours, days off, etc. Show him the staff page, and get a photo for
it. Show him the Intranet page.
- A week or two after the new person starts, make a point to run through the
Cactus menu system, showing him what everything does. This should give
him some time to get acclimated before he has the information dumped on
him. Starting a new job is hard enough without unnecessary information
overload.
