Procedure for Deposits and Gift Certificates
- Make a special order for the item.
- Enter inventory number 10643, "Deposit", or
10660 "Gift Certificate", for the amount of the
deposit; use1 for quantity and minus the amount of the
deposit for price. (If you do it the other way around, it
won't print on the special order.)
- Print two copies of the special order if it's for
delivery or shipping, one if they will pick up the item.
- Give the customer a copy of the special order. If it's to
be delivered or shipped, give Shipping the other copy.
- Make a real invoice for the amount of the deposit. Don't
invoice the special order, just make a new invoice.
"Deposit & Gift Certificate" get no sales
tax, so you don't have to do any fancy arithmetic. Use
the special order number as the serial number for the
deposit.
The results of the Game Club survey are in. Several people
suggested we simply take a deposit with any order at Game Club
price, then hold the game until the person came. I'm going to
limit the "hold" to 30 days, because we need the option
to be able to sell or return the game. Their deposit remains, and
can be used on another game or refunded if they don't pick up the
one they put the deposit on.
Game Club members can now order games not in stock at Game
Club prices by putting down a $10.00 deposit. They have 30 days
to pick up the game. After that, the game is deleted from the
special order, then the special order is saved with just the
deposit on it.
Be sure to let the customer know about the 30 days. We'll
notify them by e-mail that the game is in.
