Yearly Things to Do

  1. At the end of the year, make a CD copy of all of the Manager directory, and whatever else seems pertinent.
  2. Have the bookkeeper transfer the old files to boxes and start new files for A/R, A/P, daily tills, etc.
  3. Let Tony know when the last banks statement is reconciled for last year.
  4. Run a list from the checking account, ordered by category, of all of the entries.  Add them up.  (This should wait until after the last bank statement, to make sure it's right).
    1. Use check00
    2. Set filter to date > {(last day of previous year)} .and. date <{ (first day of new year)}
    3. Index on acct to scratch
    4. browse (to check that it's done right)(This is a good opportunity to correct any items that are in the wrong account, or mis-spelled account names.)
    5. list fields ck_n, date, who_to, amount, acct, deposit, bus to print prompt
  5. Take a look at things like long-and-short, bad debts to see if they're right.  Check for errors, and check for un-balanced bad stuff that we need to watch out for in the future.
  6. Do a final payroll.  Be sure to pay the 941, 940, 950, and other payroll taxes as soon as possible.  Correct the dates of these checks back to the last day of the previous year.  After you do sales tax, correct the date of these checks back to the last day of the previous year.
  7. Don't pay January's rent until January.  It throws the taxes off.
